Hosting a holiday party this December and running out of room inside? A tent gives your guests a dry, covered space to eat, talk and celebrate, whatever the weather does.
Here’s how to tell if you need one, what size to ask for, what it costs, and how to lock in your date before the holiday rush. Our crew delivers and sets up across Lynchburg, Forest, Bedford, Amherst and the rest of our delivery areas.

Go one size up in winter
Guest counts assume everyone is seated at 60″ round tables at the same time. Adding a buffet line, a gift table or a dance floor? Go one size up. If it rains or turns cold, every guest ends up under the tent at once.
Prices are per day and don’t go up if your party runs long. Delivery is calculated at checkout. All of our frame tents have no center poles, so the whole floor is usable for tables. See every size side by side on our tent rentals in Lynchburg page, or send us your guest count and we’ll recommend the right fit.
Do you need a tent for a December party?
A tent keeps your guests dry and gives your party a defined space, even in December. It’s a good choice if:
- Your guest list is bigger than your home or venue
- You want an outdoor party with a plan for rain or snow
- You're hosting a company holiday party, a church event or a community or neighborhood gathering
- You want to keep the food, drinks and gift table outside so the house doesn't get crowded
You may not need one if everyone fits comfortably indoors and the party stays inside. In that case, a single 10×10 pop-up tent by the door can still give you a covered spot for coats, a coffee station or a photo area.
Check your space before you book
A tent needs extra room on every side for its ropes and stakes. A 20×20 tent, for example, needs a clear 30×30 area. Grass is our standard setup. Driveways, patios and parking lots work too, but they need weighted anchoring, which can add a fee depending on the tent size and site. Let us know about slopes, trees, overhead wires or narrow gates when you book and we’ll plan around them.
What to add: tables, chairs and lighting
Most holiday parties also add tables and chairs. Booking them with your tent means everything comes on the same truck and gets set up before your guests show up.
For sit-down dinners, the round table and 8 chair pack (white) starts at $44 a day, and the black version starts at $36. For a buffet or long family-style rows, the 8-ft table and 10 chair pack starts at $53. Cocktail tables ($14) work well for a standing mingling area, and linens dress everything up for the season. See the full list on our tents, tables and chairs page.
December evenings get dark early, so plan your lighting. Our bistro-style string lights (100 ft pack) give the tent a warm, festive glow, and a light post helps light walkways and parking areas. If there’s no outlet close by, add a quiet generator so the lights and music stay on without a noisy hum.
Want something for the kids too? Our holiday and seasonal rentals include a Santa bounce house, a snowman bounce house and a giant snow globe for photos. You can also see our winter packages for bundled deals.
Heating, flooring and weather planning
Virginia winters can bring cold nights, rain and the occasional snow. A few things to plan for:
- Heating: Planning to bring heaters? Let us know so we can talk through safe placement.
- Flooring: Wet or muddy grass is common in December. Our 20x20 event sub flooring (from $400) gives guests a flat, dry surface, and a 15x15 dance floor fits inside a 30x30 or larger tent.
- Weather: If the forecast turns bad, you can reschedule at no extra cost with at least 24 hours' notice. We keep an eye on conditions and will reach out if anything could affect your setup.
- Power: Heaters, lights and music all need power. No outlet near the tent? Ask us about a generator when you book.
Wet ground? See our event sub flooring and 15×15 dance floor. Have more questions? Our FAQs cover delivery, setup and payments, and our insurance page is there if your venue or HOA asks for a certificate.
